Who we are

LakeTree Systems Pty Ltd (ABN 416 428 20 826) ("LAKETREE") and its related entities are committed to protecting the privacy of personal information. Personal information is defined under the Privacy Act 1988 (Cth) ("Privacy Act"). All people and organisations working with and for LAKETREE are required to be familiar with and to comply with the obligations set out in this Policy. Your use of LAKETREE’s web site and/or components and services evidences your consent to LAKETREE’s collection, use and disclosure of personal information in the manner set out below.

The personal information we collect includes, but is not limited to:

• Personal information for employment, trading and marketing purposes such as full name, postal address, phone and fax numbers and email addresses.
• Personal information relating to a person's business or professional capacity such as ABN/ACN, position, organisation, postal address, phone and fax numbers and email addresses.
• Transactional information such as credit card details or bank details.
• Personal information for Human Resources, Finance and general entity administration purposes for employees and contractors.
• Personal information for the purpose of organising, inviting and holding an event with LAKETREE or its related entities.

How we collect personal information

• Directly from the person and/or the company they represent that we are interacting with to provide advice, services, materials and/or resources, employment opportunities or company information. This information can be collected in hard copy forms, online or by email, post, facsimile, face to face, over the phone or through our reseller channel, including wholesalers and partners.
• Enquiries made to external parties in order to provide advice, services, materials and/or resources, employment opportunities or company information, for example reference checks for employment purposes.
• From publicly available information.
• Through the contact form on this website. What that collects, and who it is sent to, is set out under "This website" below.

This website

This section describes what laketree.com itself does when you visit it. It is deliberately specific, because a privacy policy that overstates what a site collects is no more useful than one that understates it.

Cookies and tracking

This website does not set cookies. It does not store anything in your browser, it does not track you across other websites, and it does not build an advertising or behavioural profile of you. There is no cookie consent banner because there is nothing to consent to.

Earlier versions of this website did use cookies for advertising and personalisation. That is no longer the case, and this policy was rewritten to reflect it.

The contact form

If you use the contact form, you give us your name, your email address and the message you write. We use them to reply to you.

• Your submission is sent to us by email, to info@laketree.com. Your email address is set as the reply-to address so we can respond to you directly.
• The website does not store your submission. There is no database behind the form and no copy is kept on the web server - the email in our inbox is the only record, and it is retained in line with the rest of our business correspondence.
• We use Cloudflare Turnstile to tell people apart from automated spam. To do that, Cloudflare receives your IP address and technical information about your browser when the check runs. Cloudflare acts as our service provider for this and does not use the check to build an advertising profile of you. Cloudflare is a United States company and processes this information on its global network.
• We limit how many times the form can be submitted from the same IP address in a short period, to stop abuse. That count is held in memory for a few minutes and is not stored or used for anything else.

Web fonts

The typefaces on this site are loaded from Google Fonts. When your browser requests them, Google receives your IP address and the standard information any web request carries. Google states that Google Fonts does not set cookies and does not use these requests for advertising or profiling.

Hosting and server logs

This site is hosted on Microsoft Azure. As with any web hosting, the platform records standard request logs which include IP addresses, and Microsoft processes these as our service provider. We use them only to keep the site running and secure, not to identify individual visitors. Microsoft is a United States company and operates data centres worldwide.

Analytics

We use Microsoft Azure Application Insights to count page views, so we can see which pages people find useful and where our visitors are, broadly, coming from. It works without cookies and does not store anything in your browser.

For each page you view, it records the page address, the page that linked you to it (if any), the time, how long the page took to load, your browser and device type, and your approximate location (country, region and city). The location is worked out from your IP address when the page view arrives; your IP address itself is then discarded and is not stored. It also records errors that occur in the page, so we can fix them. It does not record what you type into the contact form, and nothing it collects identifies you or follows you to other websites.

Microsoft processes this data for us as our service provider, in its East Asia data centre region, in Hong Kong. We keep it for two years, use it only to understand and improve this website, and do not use it for advertising or share it with anyone else.

How we store and secure personal information

• We take reasonable steps to maintain the security of personal information to protect it from unauthorised disclosures.
• Information in electronic format is stored securely on our secure servers or in accredited systems that meet security and privacy standards.

The use of personal information

• LAKETREE will not sell, rent or lease customer lists or other personal information to third parties. Personal information will not be distributed, shared or passed on to any third party unless consent has been granted by the individual or organisation, or LAKETREE is required to do so by law.
• LAKETREE uses this information to provide our core services to our customers, market our services and our brand to the industry and potential customers, recruit employees, have productive working relationships with our employees, and to engage with partners and third party service providers.
• We may share personal information with LAKETREE's related entities or to third parties such as our vendors or suppliers who provide us with goods or services, our clients or our professional advisers, where permitted by the Privacy Act.

Who receives your data

For information you give us through this website, the third parties that receive any of it are listed above: Cloudflare, for the spam check on the contact form; Google, for the web fonts your browser loads; and Microsoft, as the host of the site, the provider of our page-view analytics and the host of the mailbox your enquiry is delivered to. We do not pass information from this website to anyone else.

How to access or correct your personal information or make a privacy complaint

LAKETREE is transparent and accountable for the limited personal information that we collect and aim to maintain the accuracy and quality of this information. Should you wish to access or correct your personal information we hold, or ask us to erase it, please contact LAKETREE via support@laketree.com. You may also use these contact details to notify us of a privacy complaint if you think we have failed to comply with our obligations under the Australian Privacy Principles. If a complaint is made, it will be thoroughly assessed in a timely manner and any breach will be rectified, where practicable and possible. All complaints will be taken seriously and will feed into continual processes for reviewing and improving privacy. This does not extend to information we are obliged to keep for administrative, legal or security purposes. LAKETREE may, at its discretion, update or revise this Policy from time to time. Data Breach Reporting

The Privacy Act and General Data Protection Regulation (Regulation (EU) 2016/679) requires that reasonable and appropriate protection is made around information, including personal information and customer data ("Information"), and that certain data breaches are reported to the relevant authorities. LAKETREE may collect and store Information to enable LAKETREE to provide services to its customers. That Information may be held in various forms and transmitted through systems controlled by LAKETREE or its customers.

In the event a data breach occurs or, a data breach is suspected, LAKETREE will follow this Policy and the below Response Plan to contain, assess and respond appropriately.

Response plan

• Initial notification: If personnel become aware of an actual or suspected data breach they must immediately notify the Privacy Officer with information regarding the data breach.
• Preliminary assessment: The Privacy Officer shall notify the relevant personnel to collate information regarding the data breach.
• Assessment of Risk: The Privacy Officer in conjunction with management will assess the severity of the data breach based on the information received.
• Notification: The Privacy Officer in conjunction with management will consider whether notification to the relevant authority and/or affected individuals is required and, if notification is required, make that notification.
• Review: LAKETREE will undertake an internal review of the circumstances to consider if further action is required.
